Free US Invoice Template for Freelancers
What a US invoice needs, where sales tax fits in, and the W-9/1099 paperwork every American freelancer meets — plus a free generator that builds the invoice for you.
What a US invoice must include
The US has no federal law dictating invoice format, which makes it refreshingly simple. A professional US invoice contains:
- Your name or business name and address (add your EIN if you have one — never put your SSN on an invoice)
- Your client's company name and billing address
- A unique, sequential invoice number (e.g. INV-0042)
- Invoice date and payment due date
- Line items with description, quantity/hours, rate, and amount
- The total due in USD and your accepted payment methods
Do freelancers charge sales tax?
Usually not — most states don't tax professional services like writing, design, or software development. But it's state law, not federal: a handful of states (Hawaii, New Mexico, and South Dakota among them) tax services broadly, and several more tax specific categories like digital goods. If you only sell services and your state doesn't tax them, your invoice simply shows 0% tax. If you're unsure, your state's Department of Revenue page answers it in minutes.
W-9s and 1099s in plain English
US clients who pay you $600 or more in a year will ask you for a Form W-9 before or shortly after your first invoice — it gives them your taxpayer details so they can file a 1099-NEC reporting what they paid you. This is normal and expected; have a filled-in W-9 PDF ready to send, and invoicing goes smoother. (The 1099 is their job, not yours — you just report the income.)
Getting paid: method matters
ACH bank transfer is the standard for US business payments — free or nearly free for both sides. Checks still exist but add a week. Card payments cost you ~3% in processing fees, so build that in if you accept them. For international clients paying you in USD, a multi-currency account (Wise, Payoneer) gives you US account details without a US bank.
